You do not need to remember where to send a receipt, an invoice from an e-mail or a letter: one button on your phone or the company's e-mail address is enough, and the app suggests where the document belongs while a person confirms it. Four documents, each in its place

True:Inbox is a module of the My True Balance platform for sending documents to your accountants: you pass on a receipt, an invoice from an e-mail, a letter or a question with one button on your phone or to the company's inbox e-mail address, and the app suggests which company they concern and where they go. In the recording (sample data), an employee forwards to the company's inbox address an invoice requested by the accounting office, an accountant at your company confirms its place, a partner photographs a foundation resolution, and the president records a question for the accountant. At the end, the accounting office sees each item in the right company.

A place proposal confirmed with one tap

The AI assistant proposes the company, document type and destination, and you only confirm; uncertain fields are highlighted.

The proposal has a short rationale and the label “AI assistant proposal”. You can confirm it, change the place or postpone the item. In the example, the president records a question for the accountant about a customer's overdue payment, and the app proposes a new thread with the accounting office.

A document captured with one button

The “+” button is on every screen of the app: a photo (also of several pages), a voice note, text or a file. The item is saved immediately, without choosing a module or company.

First you capture the document (even without coverage), and the description can wait; the accounting office sees what has arrived and where it went, so it does not need to ask by e-mail.

The module works on the phone and in the browser: a document from your mail or gallery can be sent to the True Balance app from another app, and in the browser you can drag a file into the inbox.

Each company has its own inbox address

An invoice from an e-mail is forwarded to the company's inbox address in the platform domain, and the item waits for confirmation by the person who coordinates the inbox. Invoices sent by e-mail, for example from a foreign advertising supplier, reach the accounting office the same way.

The inbox has no access to employees' mailboxes: it accepts only what someone forwards themselves.

The office's request reaches the right person

The office's accountant asks for a missing document, and the recipient sees what the request concerns, who is asking and by when. They reply with a photo, a file or a forwarded e-mail, and the request closes itself once the document is sorted.

In the example (sample data), the accounting office asks for a foreign advertising supplier's September invoice for 1 250,00 EUR, and an employee forwards it by e-mail to the company's inbox address.

An item from an e-mail shows the reading (issuer, buyer, number, date, service period, amount, payment) next to the document and a place proposal with a rationale. Fields read with uncertainty are marked for checking, and the accounting period is set by the accounting office.

Messages from unknown senders wait in quarantine

An e-mail from a sender outside the trusted list goes to quarantine, and an executable file, a document with macros or an encrypted archive gets the status of a blocked attachment. A forwarded e-mail is marked to show that the original sender has not been verified.

An invoice in quarantine does not disappear without review: the person coordinating the inbox decides what to do with it.

With several companies, the document reaches the right one

The owner of several entities does not choose a company before sending: the inbox address, the buyer's tax ID and the content of the document suggest the company. In the example, a photo of a family foundation's board resolution goes to the foundation's documents, not the company's.

The accounting office sees what has arrived and where it went

The office's accountant sees the companies' inboxes: the channel, who forwarded it and when, the company, the status and the destination. Items not sorted for more than three working days are highlighted, and items from the phone before the author's confirmation are visible to the office only as a company counter.

Works together with

True:Inbox is part of the My True Balance platform: documents go to the modules enabled in the company, and the rest to the company's documents. For example, a lease agreement or schedule goes, after confirmation, to settlement checks, when enabled.
